Kora Lawler Aesthetics: Client Workspace & Safety Framework

Welcome to Kora Lawler Aesthetics, operating under The Kora Lawler Clinic Limited (may be referred to hereafter as “us”, “we”, “our”). This document serves as our operational policy framework for all visitors to our premises at Unit 12, Groody Neighbourhood Centre, Castletroy, Limerick, as well as users of our digital reservation platforms.

We consider any interaction with us — whether you book a session, visit our Limerick clinic, chat with our team, or join a friend for their appointment—as your agreement to these guidelines. Please note that we may update these policies periodically, but we will always provide reasonable notice before changes take effect.

Client Summary and Acceptance of Terms

By interaction with us – you explicitly accept the following principal terms:

· Practice Type: Kora Lawler Aesthetics operates strictly as a private aesthetic clinic and does not function as a general practice (GP), a dermatology clinic or provide any emergency assessments or services.

· Financial Commitments: Upfront booking fees, deposits, or advanced payments are required for appointments. Missing your appointment or cancelling at the last minute may result in a charge.

· Treatment Realities: Clinical and cosmetic outcomes vary by individual and cannot be guaranteed.

· Client Duties: You must strictly adhere to all provided aftercare instructions and seek immediate emergency services if urgent medical attention is required.

· Premises and Parking: All vehicles that are parked on or near the premises, and belongings left in the vehicles or on the premises, are done at owner’s own risk entirely.

· Conduct Expectations: We protect our environment fiercely. Aggressive behavior, threats, or disruptive conduct toward our team or other visitors is not accepted.

Scope of Services

Kora Lawler Aesthetics is private aesthetic clinic providing non-surgical aesthetic treatments to persons older than the age of 22 years by qualified and licensed practitioners. Kora Lawler Aesthetics is not an emergency department, GP Practice or Dermatology clinic. We do not function outside the scope of our practice.

Before we begin any procedure, our team evaluates its safety for your skin. Every treatment relies on clinical suitability, calendar availability, your formal consent, up-front payment, and our final professional judgment.

Our Commitment to Your Care: Appointment & Cancellation Policy

We look forward to welcoming you to Kora Lawler Aesthetics. To ensure we can provide the highest level of care and accommodate all our clients fairly, please take a moment to review our scheduling policies.

Cancellations & Rescheduling

If you must change or cancel an appointment, please provide us with at least 24 hours’ notice.

Doing so ensures your deposit or booking fee is refunded to your original payment card. Cancellations made with less than 24 hours’ notice will result in the forfeiture of your deposit. In the rare event that we must cancel your appointment from our side; your deposit will be credited back to your card.

Late Arrivals & No-Shows

Please plan to arrive 5 to 10 minutes before your scheduled appointment. If you run late, we may need to shorten your consultation time or reschedule your appointment to avoid delaying the next client. In these cases, a rescheduling fee may apply.

If you miss your appointment entirely without notifying us, you authorise us to charge your card on file for up to 50% the remaining balance of your total booking value (minus any deposit already paid).

Your Health & Safety (Age & Tanning Policies)

To ensure optimal safety and ethical practice, Kora Lawler Aesthetics exclusively treats clients who are 22 years of age or older.

To provide you with safe and effective treatments, we also rely on accurate health information. Please ensure you provide a complete medical history, an updated medication list, and details of any allergies.

Furthermore, we strongly advise against the use of tanning beds or tanning salons. If you currently use or intend to use tanning beds, you must inform your practitioner prior to your visit, as UV exposure significantly impacts your skin health, clinical assessment, and overall treatment plan.

For the safety of our staff and guests, Kora Lawler Aesthetics reserves the right to decline, pause, or reschedule treatments if a procedure is clinically unsafe, falls outside our scope of practice, or if a visitor’s behaviour poses a risk to our clinic environment.

Fees, Quotations, and Payment Terms

Payment Timing and Prepayment: All fees must be settled in full either at the time of booking via our secure digital platform or immediately following the conclusion of your clinical service on the premises. Certain advanced procedures, specialized treatment packages, or specific peak booking slots may require a booking fee or full upfront prepayment.

Estimates versus Final Treatment Plans: Any pricing, price lists, or financial quotes provided prior to an in-person clinical consultation are preliminary estimates only, based on initial inquiries. Your final, tailored treatment plan and total cost will be determined during your face-to-face consultation. This total price may vary from original estimates based on the clinician’s objective assessment, the specific product brands or volumes required, and procedural complexity. No treatment will proceed, and no charges will be incurred, without your explicit informed consent to the finalized price.

Fee Adjustments: The Kora Lawler Clinic Limited reserves the right to adjust its standard treatment prices and menu rates periodically to reflect changes in supplier costs and market conditions. Price adjustments will not affect any pre-booked appointments or treatments where a booking fee has already been paid and accepted by the clinic.

Clinical Consultation & Consent

To ensure your safety and provide the highest standard of care, all treatments, prescription medications, and official clinical documentation require a thorough professional evaluation.

Clinical Discretion: Our practitioners always put your well-being first. We reserve the right to defer or decline a procedure if the risks outweigh the benefits, if medical contraindications are present, if there are concerns regarding informed consent, or if the request falls outside our strict age limits and professional scope of practice.

Informed Consent: No treatment will ever proceed without your explicit, clear approval. Depending on your specific procedure, this process involves verbal discussion, signed written consent forms,

permission to take clinical photographs for your medical records, and a shared understanding of the risks, expected benefits, and alternative options.

Treatment Outcomes, Expectations and Refund Policy

While our clinic brings clinical proficiency, thoroughness, and professional care to every appointment, individual biological responses mean that specific cosmetic, expectations or therapeutic outcomes cannot be guaranteed.

Natural Variations: Final results depend entirely on unique personal factors beyond our control. These include your age, genetics, anatomy, underlying health, medical history, lifestyle habits, sun exposure, and how your skin naturally heals.

Our Fee Structure: Our pricing reflects the professional consultation, clinical time, and practitioner expertise dedicated to your care. Because these services are fully rendered, refunds are not issued if a treatment simply does not meet personal, subjective expectations.

Follow-Up Reviews: Any post-treatment assessments are scheduled at the sole discretion of your clinician and adheres to our clinical protocols.

Aftercare, Skin Care and Client Responsibility

Clients are required to follow all verbal and written aftercare advice provided by Kora Lawler Aesthetics. We strongly advise against the use of tanning beds or tanning salons. If you currently use or intend to use tanning beds, you must inform your practitioner prior to your visit, as UV exposure significantly impacts your skin health, clinical assessment, and overall treatment plan.

After treatments or procedures, clients should contact the clinic promptly if they experience any concern regarding skin care or treatment that you have had. Clients may contact the clinic by telephone, email, or WhatsApp. Clients may also book follow-up appointments through the online booking system, where available.

Urgent Symptom Protocol: If you develop any sudden, severe, or worrying symptoms after your visit, please do not wait for our team to reply to a message or return a call. Your safety is our absolute priority, so you must bypass the clinic completely and go straight to your nearest emergency department or contact emergency services immediately by dialling 999 or 112.

Your Role in Safety & Results:

Achieving the safest and most effective results requires a shared commitment. Because optimal clinical outcomes depend directly on individual biology and post-treatment compliance, Kora Lawler Aesthetics cannot accept liability for adverse outcomes to the extent that they are caused by a client’s failure to follow clinical guidance. To the maximum extent permitted under Irish law, the clinic is not responsible for avoidable complications arising directly from a failure to follow aftercare instructions, missed review appointments, delayed reporting of symptoms, the use of tanning beds/salons, or the omission of relevant facts from a medical history.

Unexpected Service Disruptions

We always strive to keep our schedule running perfectly, but on rare occasions, unexpected operational disruptions or emergencies arise that make it impossible to deliver care safely. If your booking is affected by unforeseen circumstances on our end, we will notify you right away to arrange a priority rescheduled slot or provide a prompt, full refund of your deposit.

Clinical Imaging, Media, and Privacy

To support the highest standards of treatment tracking, security, and care planning, we utilise clinical imaging within our practice. To protect everyone’s privacy, we operate under the following parameters:

Medical Records & Continuity of Care: Visual and photographic images may be taken by your practitioner as a standard part of your clinical consultation. These images form a permanent, confidential part of your medical record and are handled strictly in accordance with Irish data protection legislation and professional medical ethics. They are utilised solely for diagnostic, tracking, audit, or necessary care management purposes.

Separation of Marketing Consent: Your clinical records are entirely separate from promotional material. We will never utilise your images for social media, marketing campaigns, websites, or promotional material without obtaining separate, explicit, and freely given written consent.

Premises Privacy Rules: To safeguard the confidentiality and privacy of everyone on our premises, visitors and clients are strictly prohibited from taking photographs or making audio/visual recordings of any other clients, staff members, or clinical and private treatment areas without prior, express permission from management.

Complaints and Feedback

We are committed to providing excellent care. If you are dissatisfied with any aspect of your service, we encourage you to raise your concerns directly with us. Complaints must be submitted in writing via email to info@thekoralawlerclinic.ie.

We will acknowledge your complaint promptly, investigate the matter thoroughly and objectively in accordance with clinical standards, and provide a formal written response.

Environment Safety, Premises Rules, and Vehicle Policy

We strive to maintain a secure, welcoming, and safe clinical environment for all visitors. To support our safety standards and ensure compliance with standard insurance protocols, we ask everyone on our premises to adhere to the following guidelines:

Shared Safety Commitments: Visitors and clients are asked to follow all staff directions, directional signage, fire safety pathways, and clinic protocols. For the protection of everyone on-site, please report any structural obstructions, slip hazards, or immediate safety concerns to a team member instantly.

Premises and Parking Liability: Parking spaces near or at the Groody Neighbourhood Centre are utilised at the vehicle owner’s sole risk. In accordance with the Occupiers’ Liability Act 1995, while we maintain our premises with reasonable care, the clinic accepts no liability for third-party vehicle damage, theft, clamping, or loss occurring in external parking zones. Drivers are requested to park safely, respect neighbouring properties, and keep emergency access routes completely clear.

Post-Treatment Travel Safety: Your well-being extends beyond the treatment chair. Certain aesthetic procedures or post-care steps can occasionally cause minor, temporary discomfort, visual changes, or light-headedness. Clients are responsible for evaluating their own fitness to drive after a session, and we strongly advise arranging alternative transport home whenever advised by your practitioner.

Conduct Standards, Workplace Safety, and Recording Policies

Zero-Tolerance & Workplace Safety Policy: In accordance with Irish workplace safety standards, Kora Lawler Aesthetics operates a strict zero-tolerance policy regarding any behaviour that compromises the safety, dignity, or well-being of our staff, clients, or visitors. Any form of verbal aggression, intimidation, harassment, physical threats, or disruptive conduct will not be tolerated. We reserve the absolute right to refuse service, request individuals to leave the premises immediately, or escalate serious incidents to An Garda Síochána.

Financial Integrity: This protective framework extends to deliberate property damage, payment default, or uncooperative financial behaviour.

Audio & Visual Recording Restrictions: To protect strict medical confidentiality and fulfil our data privacy obligations under Irish and EU law, clients and guests are strictly prohibited from filming or recording staff members, practitioners, or other visitors on-site. Covert audio or video recording within clinical zones or during consultations constitutes a breach of privacy regulations and clinic rules, and may result in the immediate termination of your care framework.

Data Privacy, GDPR Compliance, and Medical Record Management

Your Data Rights & Information Management

We respect your personal privacy and handle all clinical and personal information in strict accordance with Irish and European data protection standards. Under the General Data Protection Regulation (GDPR), clients hold several fundamental rights regarding how their information is managed:

Your Information Rights: You have the right to request a copy of the personal or clinical data we hold about you. You may also request the correction of factually inaccurate details, seek restrictions on how your data is processed, object to specific processing activities, request data portability, or withdraw any previously given data consent where applicable.

A Note on Clinical Records: In alignment with Irish medical ethics and statutory frameworks, while you may request the rectification of factual biographical data, professional clinical opinions or medical diagnoses recorded within your chart cannot be altered or erased solely at a client’s request.

Submitting a Request: To formally exercise any of your data rights or to submit a Data Subject Access Request (SAR) for your records, please contact our team in writing via email at info@thekoralawlerclinic.ie. To protect your privacy and ensure secure clinical data handling, we may request verification of your identity before releasing any records.

Digital Media, Informational Disclaimers, and Content Protection

We strive to provide clear, helpful digital resources to support your research. To ensure clarity regarding our online platforms and booking tools, we operate under the following parameters:

Educational Nature of Content: All text, imagery, and information hosted on the Kora Lawler Aesthetics website and social media channels are intended solely for general educational purposes. This content does not constitute medical diagnosis, clinical advice, or treatment plans, and it cannot replace a formal, face-to-face consultation. Please note that reserving a slot through our online portal does not automatically guarantee that a specific treatment is clinically safe, suitable, or appropriate for your individual anatomy.

We do not commercially endorse or sponsor any specific medical brands, device manufacturers, or cosmetic products. Any clinical recommendation we provide is based entirely on independent professional judgment, safety data, and your unique anatomical needs.

System Limitation Liability: While we aim for seamless digital experiences, Kora Lawler Aesthetics cannot accept liability for external technical disruptions, automated booking system anomalies, payment gateway downtime, or third-party software failures.

Intellectual Property Boundaries: Unless explicitly stated otherwise, all digital materials, custom website copy, layout designs, branding assets, and original clinic policies are the exclusive property of Kora Lawler Aesthetics. Any unauthorised replication, copying, or public redistribution of these corporate assets is strictly prohibited without our prior written consent.

Limitation of Liability

General Limitation: To the fullest extent permitted by Irish law, The Kora Lawler Clinic Limited, its directors, employees, and clinicians shall not be liable for any indirect, incidental, special, or consequential loss, damage, or financial detriment arising out of or in connection with the provision of our services.

Non-Excludable Liability: Nothing in these Terms & Conditions excludes, restricts, or limits—or is intended to exclude, restrict, or limit—any liability that cannot lawfully be excluded or limited under Irish law. This includes, without limitation, liability for:

· Death or personal injury caused by negligence.

· Fraud or fraudulent misrepresentation.

· Breach of statutory duty or core consumer rights.

Client and Consumer Rights: Your statutory rights as a client and a consumer under Irish law, including the Consumer Rights Act 2022, remain fully unaffected. Any provision found to be contrary to mandatory consumer protection or medical negligence common law shall be deemed severable without affecting the validity of the remaining terms.

Governing Law and Jurisdiction

Governing Law: These Terms & Conditions, and all operations, clinical services, treatments, and interactions provided by The Kora Lawler Clinic Limited (trading as Kora Lawler Aesthetics), shall be governed by and construed in accordance with the laws of Ireland.

Jurisdiction & Patient Rights: Subject to applicable Irish consumer protection legislation, any disputes or claims arising out of or in connection with these Terms, including claims relating to clinical services or medical negligence, shall be subject to the jurisdiction of the courts of Ireland. In accordance with the Consumer Rights Act 2022, nothing in this clause deprives a consumer or patient of their statutory right to initiate legal proceedings in their local court of domicile within Ireland.

Severability: If any provision or part-provision of these Terms & Conditions is found by a court or administrative body of competent jurisdiction to be invalid, illegal, or unenforceable under Irish law, it shall be deemed modified to the minimum extent necessary to make it valid, legal, and enforceable. If such modification is not possible, the relevant provision or part-provision shall be deemed deleted. Any modification to or deletion of a provision or part-provision under this clause shall not affect the validity and enforceability of the rest of these Terms & Conditions.
